Basic International Air Freight (A/F) Shipping Process

Proship outlines the basic 10-step international air freight (A/F) transportation process as follows:

Step 1: Sign Transportation Contract

The shipping carrier and the company utilizing the service will sign a contract, after both parties agree to the regulations and terms concerning air freight transportation.

Step 2: Booking

Upon receiving the Booking confirmation from the carrier (Forwarder), the company needs to check information such as: Departure airport, arrival airport, departure time, cargo type, quantity, etc., to prepare the goods for handover to the carrier.

Step 3: Packing

Goods transported by air must be carefully packed, adhering to proper specifications, and marked with identifying codes for each package. After packing, the company proceeds to transport the goods, or the Forwarder will deliver the goods to the airport warehouse. After confirming the information for the shipment, the company will receive a Forwarder’s Certificate of Transport (FTC).

Step 4: Complete Export Customs Procedures

To transport goods for the airline and complete export customs procedures, shipments brought to the airport must have a complete set of documents ready.

Step 5: Issue Air Waybill (AWB)

After completing export customs procedures, the airline will issue a MAWB – Master Air Waybill for the shipment. One copy of the AWB – Air Waybill is sent with the shipment to the destination airport, while the remaining documents are kept by the Forwarder for necessary cases.

Step 6: Receive Pre-Alert Documents via Email

This step is performed after the shipment and its accompanying documents have been transported. The Forwarder will send a scanned copy of the original AWB copy 3 they received, along with scanned copies of all other documents, to the importer via email.

Step 7: Arrival Notification

Before the aircraft lands at the destination airport, the estimated delivery time and the status of the shipment will be communicated to the importer by the freight forwarder’s agent. To avoid potential risks, the consignee should re-check information such as: arrival date, cargo storage location, fees to be paid, etc.

Step 8: Delivery Order

Upon cargo arrival, the Forwarder will collect the original HAWB – House Air Waybill (issued by the freight forwarder), copy 2. They then proceed to the airline or its agent to pay prescribed fees such as: D/O (Delivery Order) fee, Handling fee, Labor fee, etc. Finally, the Forwarder receives the Delivery Order (D/O) along with the accompanying documents for the shipment.

Step 9: Complete Import Customs Procedures

The importer can complete the import customs procedures for the goods themselves. However, if using the air freight company’s service, the Forwarder will assist the business in completing this upon the goods’ arrival.

Step 10: Receive Goods

The Forwarder is responsible for completing procedures at the airline’s warehouse to retrieve the goods, simultaneously liquidating the customs declaration and transporting the goods directly to the importer’s location. The importing business receives the goods within the stipulated time and inspects their condition for any damage or loss.
